What Is PCI DSS, and Does It Apply to My Business?

Any business that accepts credit card payments is subject to the Payment Card Industry Data Security Standard (PCI DSS). That includes restaurants, hotels, retail shops, and any office that takes a card over the phone. Meeting these requirements to securely handle, store, process, and transmit cardholder data is more than a best practice. It protects your customers, helps you avoid fines and fees passed on by your card processor, and protects your reputation. Keeping up with PCI DSS, however, can be a complex and ongoing job, especially when the card reader, the guest Wi-Fi, and the office computers all share one network.

simpleroute knows PCI DSS and what it takes to protect cardholder information in a working business. We help Vermont businesses sort out which requirements apply to them, then do the IT work behind those requirements. That includes PCI gap assessments, remediation planning, documentation support, and clear reporting. Each year your business validates its PCI compliance with your card processor or acquiring bank, usually through a self-assessment questionnaire (SAQ) or, for larger merchants, a Report on Compliance (ROC) completed by a Qualified Security Assessor (QSA). We work alongside you through that process, with the IT work and records to back it up.

Our goal is to protect your customers’ data and help you avoid the financial and reputational damage that can follow a data breach or a lapse in PCI DSS requirements. We work alongside you on the technical side of securing your payment environment, so you can focus on running your business.

How Does Managed IT Help With PCI DSS?

Meeting PCI DSS requirements takes more than a yearly questionnaire. It takes day-to-day IT work that keeps systems patched, monitored, and locked down between reviews. That is the work simpleroute does as your managed IT provider. We go beyond simply monitoring your servers, network, and data. We keep payment systems separate from the rest of your network, apply regular security updates, control who can reach cardholder data, and fix what turns up. For PCI clients we also run vulnerability scans and penetration testing. These are core parts of the technical work behind PCI DSS.

With simpleroute, you get a dedicated service desk that knows your environment, plus specialists you only need part of the time. If you have in-house IT, we fill the gaps. If you do not, we act as the internal IT person who is not on your payroll. We help keep your systems in line with PCI DSS requirements as your business changes, whether you add a register, open a new location, or switch card processors. Our flat-rate simpleIT® service gives you a predictable IT budget and lowers the risk of a breach and the penalties that can follow.

simpleIT is the foundation. It keeps your systems patched, monitored, and secure day to day. PCI compliance support is an add-on that builds on simpleIT and is scoped to your organization’s size, how you take cards, and the depth of work you need. It adds the PCI-specific work: gap assessments, remediation planning, documentation support, and reporting. simpleIT on its own is not PCI compliance, but it gives that work a solid base to build on, and together they help you achieve and maintain PCI compliance. See our compliance services for that side.

Our approach is designed to find vulnerabilities before attackers do, keep systems up, and strengthen your defenses as threats change. For a real example, see how we run IT for the Best Western Plus Windjammer Inn, a hotel and restaurant in South Burlington, where we keep the payment systems separate and run the regular scans and testing behind its PCI DSS work. You focus on your guests and customers. We handle the IT and security work that PCI DSS asks for.

What Does simpleroute Do for PCI DSS?

simpleroute does the IT work behind your PCI DSS requirements and stays with you through the year, not just at validation time. We start by explaining the requirements in plain language and translating them into clear steps for your business.

Once simpleIT is in place, the PCI compliance add-on begins with an assessment of how card data moves through your business today, from the card reader to the processor, and builds a plan that fits your card processing setup. Separating payment systems from the rest of the network can reduce how much of your environment is in scope for PCI DSS, which means fewer systems to secure and document. From there, we put security measures like encryption and access controls in place, assist with self-assessment questionnaires (SAQs), and write up the documentation and reports that support them. We also provide ongoing support and monitoring as the standard changes and new threats appear. We stay with you through your yearly validation, and you have the technical work and records to back it up.

PCI Compliance FAQ

Does simpleroute handle PCI compliance for my business?

Yes, together with you. You validate PCI compliance each year with your card processor or acquiring bank, through a self-assessment questionnaire (SAQ) or, for larger merchants, a Report on Compliance from a Qualified Security Assessor (QSA). simpleroute works alongside you and does the IT work behind many of the requirements. simpleIT is the foundation, and our PCI compliance add-on builds on it with gap assessments, remediation planning, documentation support, and reporting.

Does network segmentation take my business out of PCI scope?

Segmentation does not remove PCI DSS requirements, but it can reduce scope. When payment systems are properly separated from guest Wi-Fi, office computers, and other systems, fewer systems are in scope, so there is less to secure and document. The separation has to be tested to count, and penetration testing is how that is usually confirmed.

Which SAQ does my business need?

It depends on how you take cards. A standalone card terminal, a point-of-sale system on your network, and online payments each lead to a different SAQ, and your card processor or acquiring bank confirms which one applies. We help you understand what it asks of your IT and gather the technical details.

Do you work with restaurants, hotels, and retail?

Yes. Any business that takes cards has PCI DSS requirements, and we work across the businesses in this region. For example, we run IT for the Best Western Plus Windjammer Inn and its restaurant, where we keep payment systems separate and run regular vulnerability scans and penetration testing.
